Guest Communication

Your group coordinator will request flight information from all guests at least 60 days prior to departure.

Schedule a group zoom “happy hour” for Andrea to talk about the resort, events, and answer any questions from guests. This is optional.

Your group coordinator will send a custom wedding information sheet to guests via email at least 6-8 weeks prior to departure, which will include on your resort, events, attire, and excursions. See example here.

Your group coordinator will provide last minute updates to you group on what to expect, transportation, etc. 1-2 weeks prior to departure.

Ellen will send you printed newsletters to provide guests when they arrive or to put in welcome bags (sent to you 1-2 weeks prior to your departure). See example here.

Start planning your wedding ceremony 7 months prior to your wedding date

Your wedding coordinator at the resort will be assigned to you approximately 7 months prior to your wedding and Andrea will make the introduction. Your wedding planner will handle all of your wedding ceremony details and you can contact him/her directly.

You will begin having planning calls with your resort wedding coordinator and Andrea will attend if needed.

HELPFUL TIPS!- Be clear and concise. Many wedding coordinators at resorts speak English as a second language. When emailing your coordinator, be short and direct. Bullet points and shorter sentences are recommended.- Be patient. Wedding coordinators are extremely busy and typically take a few days to respond. - Do not worry!!! Your resort was chosen because they handle weddings on a regular basis and are experts. Choose your dream destination and resort

This process typically takes 4-6 weeks.

Discuss your ideal wedding and possible destinations with your travel advisor during your introductory Zoom call.

Andrea will follow up with a proposal that includes 3-8 resort recommendations based on your discussion.

You and your fiancé will narrow down the resort list to your top 3 resorts. If you can’t decide, Andrea will set up a call to discuss!

Andrea will send you detailed wedding packages and pricing for each of your top 3 resorts. She will also reach out to each resort to request your preferred dates and group room rates.

Pick your resort! Andrea can schedule a call to discuss if needed.

Andrea will request an official wedding and room block contract for you to review, sign, and deposit.

Once you sign your contracts, rooms will be added to your group inventory (takes approximately 2 weeks)

Get invites out months prior to your wedding date

Once your contract is signed, Ellen will start creating your wedding website. Email Ellen 1-3 pictures of the two of you, a message to your guests, and a link to your wedding registry if you have one.

While your website is being created, start finalizing your guest list for your invitations.

Order your invitations! We recommend sending invitations at least 8 months prior to your wedding.

Send your website link to guests and/or send your invitations. Your guests will need to budget for your wedding, request vacation time, etc., and giving them extra time will help them prepare for your wedding.

Guests begin making reservations

3-8 months prior to your wedding date.

Check your wedding website for your reservation date.

Guests will receive your wedding website link via email or invitations and start requesting their rooms.

Your group coordinator (Meredith or Ellen) will book all guests reservations and transportation.

Your group coordinator will provide periodic updates on who has booked their room. But, please feel free to request an updated guest list anytime!!!
